A candidate needs to reschedule, but the hiring manager has limited availability. What do you do?
Confirm with candidate, check manager's calendar, offer alternatives, and communicate updates clearly.
Multiple interviews across time zones, and a last-minute change comes in. What's your plan?
First, I identify the impact—who's affected, and where flexibility exists. Then I'd update the calendar, notify the candidate and interviewers, and triple-check that calendar invites reflect the correct time zone. Then I follow up with confirmations and adjust any prep docs as needed.
A candidate logs in at the wrong time due to time zone confusion. What do you do?
Stay calm, acknowledge the mix-up with empathy. I would check if the interviewer is still available or offer to reschedule. Internally, I'd note what led to the confusion—perhaps the wording in the invite. Then, I'd update the invite templates to prevent it again.
You're asked to coordinate a last-minute onsite executive panel—what do you do?
I'd start by checking each panelist's availability using shared calendars or Slack & marking any overlapping open slots. Then I'd block holds on calendars, create a tight timeline for prep, and send a clear calendar invite with materials. I'd confirm arrival logistics, greet the candidate onsite, and stay available to address last-minute needs.
Recruiter asks for updates, but you're behind. How do you handle it?
Be honest and proactive- and share when they can expect a full update. Then I'd prioritize open scheduling tasks based on urgency and impact, and communicate progress via quick check-ins or Slack. Clear, timely communication keeps trust strong even when things are tight.
Tell me about managing competing priorities.
At Cupcakin', I managed hiring, inventory, and staff scheduling during a holiday rush. I blocked out daily time to focus on each task, flagged time-sensitive items first, and used Asana to track progress. Nothing slipped through because I stayed structured and checked in regularly with the team.
Describe a time your attention to detail saved the day.
I caught a budget formula error before a client meeting—avoided a major reporting mistake.
Worked with someone unclear—what did you do?
At NBCUniversal, the exec I supported gave minimal info in emails. I started sending recap emails and asking clarifying questions early. This helped us align and kept expectations clear without constant back-and-forth.
Poor candidate experience—how did you fix it?
A candidate once didn't receive their Zoom link and missed an interview. I apologized immediately, rescheduled with priority, and sent a detailed confirmation. I also added a step in our process to double-check invites. They appreciated the recovery, and we improved our system.
Time you went above and beyond in an interview process?
When we decided on the right candidate for the job, I customized their welcome materials, and coordinated a lunch with the team. It helped the candidate feel cared for and gave them a strong impression of our culture.
How do you stay organized when managing calendars?
I use tools like Asana and Google Calendar, where I can color-code calendars, conduct daily reviews, and real-time task tracking.
What scheduling tools do you know?
Greenhouse, GSuite, Google Calendar, Monday.com—proficient and comfortable using all.
How do you ensure a great candidate experience?
Clear communication, timely updates, prep materials, and fast follow-through.
How do you confirm availability and avoid double-booking?
Check calendars before finalizing, use hold blocks when proposing times, and confirm via Slack or email.
How do you handle confidential info?
I treat candidate data with care—accessing it only through secure systems like Greenhouse or password-protected folders. I never share candidate info over unsecured channels and follow company policies closely.
Astranis moves fast. How do you stay agile?
I stay flexible by keeping buffers in my schedule, staying calm under pressure, and communicating openly. I'm used to shifting priorities and can rework a plan quickly without losing focus.
What excites you about Astranis?
The idea that my coordination helps launch missions into space through behind-the-scenes support— is powerful. I'm excited to contribute to work that literally uplifts the world. That mission energizes me.
Tell me about a time you took initiative outside your role.
I built a campaign template that was reusable on a quarterly basis and it improved team efficiency—it got adopted by two other media planners.
How do you stay focused with repetitive tasks?
I remind myself that each task helps someone have a better experience—whether it's a candidate or a team member. I also use batching, mini-deadlines, and music to stay in flow.I actually enjoy repetitive tasks so its fairly easy for me to retain focus.
How do you build relationships with hiring teams?
I check in regularly and follow through as fast as I can. I use Slack for quick updates and build trust by being responsive, reliable, and respectful of their time.
