Accept an Assignment
- Log into the Platform
- Click the "Schedule" icon at the top of the Platform
- Select the "Assignments" tab from the top of the screen
- Click either "Accept" or "Decline"
*Note: Assignments are offered in THEIR time zones and may or may not be dedicated services
assignments. Some assignments can also be for assessments only.
Add a Qualification
- Log into the Platform
- Click "Profile" icon
- Click the "Qualifications" tab
- Click the "Add New Qualifications" button
- Follow the on-screen prompts to complete the process
Admit a Student and Hide their View
- Log into the Platform
- Click the "Room" icon at the top of the Platform
- Click "Participants" from the center menu
Click "Admit"
- To turn off a client's view of themself, click the "Settings" icon under their video
- Click "Hide video from client"
Create & Edit Queues
How to Create a Queue
- Log into the Platform
- Click the "Room" icon at the top of the Platform
- Expand the queue menu by clicking the queue icon in the right menu
- Click "New Queue"
How to Edit a Queue
- Log into the Platform.
- Click the "Room" icon at the top of the Platform.
- Expand the queue menu by clicking the queue icon in the right menu.
- Click the drop-down menu at the top of the queue window.
- Click the name of the queue you wish to edit.
- Click an item in the queue. Use the red x to delete it from the queue.
- To add items, click "Add Items" and follow the prompts to search and add items.
Convert a Therapy Referral to a Service Line
- Log into the Platform
- Click the "Clients" icon at the top of the Platform
- Select the "My Clients" tab
Click on the client with an orange dot under the "My Referral" column
- Click the + Referral line to expand the referral menu
- Click "Convert to Service," "Edit," "Decline," or "Delete"
- After clicking "Convert to Service," ensure the student's services, start date, tracking type, session duration, frequency, and interval are accurate.
- Click "Next."
- Confirm the student's language preferences and click "Finish."
*Note: If you decline a referral, you are responsible for contacting the clinical success manager
for that assignment to explain why.
*Note: You should refer to the student's IEP or assessment plan if you are unsure about this
information.
Find How to Access a Student's IEP System
- Log into the Platform
- Click the "Locations" icon at the top of the Platform
- Select either a district or school from the available links
- Select the "Organization Handbook" tab
- IEP Access and Training
Add a Therapy Event to the Schedule
- Click the "Schedule" icon at the top of the Platform.
- Click the time and date on the schedule or use the "+Add Event" button.
- Use the calendar field to select the start date.
- Use the time field to select the start time.
- Use the calendar field to select the end date.
- Select the category "Work with Clients."
- If the event repeats, select the frequency from the drop-down menu.
- Select the appropriate billing code from the drop-down menu.
- Select the students from the drop-down menu.
- Click "Save & Document" or "Save & Exit."
Document a Therapy Event
- Log into the Platform.
- Click the "Schedule" icon at the top of the Platform.
- Find the event to be documented in the calendar (or use the documentation assistant if your
invoice is due.)
- Right click on the event to open a sub-menu.
- Click "Document."
- Select the billing code from the left drop-down menu.
- Click on each letter to leave S.O.A.P notes in the textbox.
- Leave general notes in the general notes textbox.
- Check the checkbox next to the verification statement.
- Click "Save & Exit."
*Note: If you have multiple service lines open with the student, you will need to select the correct
service type from the client services drop-down menu on the right.
Add a Component to an Evaluation Event
- Log into the Platform.
- Click the "Schedule" icon at the top of the Platform.
- Click the time and date on the schedule or use the "+Add Event" button.
- Use the calendar field to select the start date.
- Use the time field to select the start time.
- Use the calendar field to select the end date.
- Select the category "Work with Clients."
- If the event repeats, select the frequency from the drop-down menu.
- Select the "Evaluation" billing code from the drop-down menu.
- Select the students from the drop-down menu.
- Click "Save & Document."
- Add SOAP and General notes to the event as needed.
- Mark areas of concern by clicking the appropriate checkboxes.
- Add components to the evaluation as needed using the "Add Component" button.
- Edit the status of any components as appropriate.
- Update the Evaluation Status.
- Check the checkbox next to the verification statement.
- Click "Save & Exit."
*Note: Leave the Evaluation Status as "In Process" unless the evaluation is complete. If the
evaluation is complete, change it to "Completed."
*You cannot mark an evaluation as complete unless you have uploaded a Final Evaluation
Report using the drop box.
