Create new automation with 'Data Extract' activity in Automation Studio

Automation Studio -> click ‘Overview’ tab -> click 'New Automation' button -> on the left drag 'Starting Source' to the 'Workflow' -> drag the 'Data Extract' activity onto the 'Workflow' tab canvas it is on 'Step 1' -> click 'Data Extract' button on 'Step 1'. ->

In Properties’ section: Add a 'name', 'external key', and 'description' for the activity. -> Enter a file naming pattern’ so that the activity knows what to name the file it creates. Include a file extension with name, example “.cvs”. Note: Ensure that the file name patterns match in the ‘Data Extract’ Activity and the ‘File Transfer’ Activity. To make sure the file names match, don’t use %%Minute%% or %%Second%% variables in the file name pattern. a. Use when you’ve set up a workflow to drop a file whose auto-generated filename matches a pattern into the ‘file location’. b. Enter a static name or include placeholders for the date, keeping in mind that they’re case-sensitive. If a filename includes personalization strings that are capitalized, capitalize them in the file naming pattern. c. Include a .zip extension for ‘tracking extract’ or .csv for a ‘data extension extract’ for file extension. -> To determine the web analytics tools in the Safehouse used to interpret the extracted file, in ‘Extract type’ section, select the following drop down menu:

  • Data Extension Extract: The most common type. It exports records from a specific Data Extension into a delimited file (like a CSV). Option to zip file.

  • Chat Messaging Data Extract: Specifically for extracting WhatsApp and other chat channel engagement metrics. Your File Naming Pattern must end in .zip to have file in zip. The service always zips your file.

  • Contacts Without Channel Addresses: Identifies contacts in your system who are not associated with any specific communication channel. Does Not zips file.

  • Zip – This option is used to zip the file on your FTP folder. Includes checkbox called "Delete Source Files" which automatically deletes the original loose .csv files once they are safely packaged inside the final ZIP archive.

  • GlobalUnsubImport: Used for Enterprise 1.0 accounts to manage global unsubscribe lists. Does Not zips file.

Select a field name to include it in the data extract file. b. If the data extract you choose includes the column Delimiter field, insert the character you wish to use as a delimiter within the data extract. You can use comma (,), tab, or pipe (|) characters as delimiters. -> To use a local time zone in your tracking extract output file, select ‘Use Local TZ’ in Query and then select a time zone from the dropdown. If you don’t select this option, the output file defaults to Central Standard Time and doesn’t observe daylight savings time. Note: Extract types must be provisioned for your account. -> If using Tracking Extract’ data, Audit Trail’ logs,Chat Messaging Data Extract’ and Custom Extracts’ to determine the date range for information to include in the extract file, select an extract range. -> if using ‘Tracking Extract’, ‘File Convert’, advanced ‘Data Extension Extracts’, andAudit Trail’, select a type of file encoding to use like ‘UTF-8’. -> Configure the extract by choosing the fields that appear in the data extract file, this is based on what extract you chose example ‘Data Extension Extract’, ‘Tracking Extract’, ‘File Convert’, or ‘Audit Trail’. a. Select a field name to include it in the data extract file. b. If the data extract you choose includes the column Delimiter field, insert the character you wish to use as a delimiter within the data extract. You can use comma (,), tab, or pipe (|) characters as delimiters. -> To use a local time zone in your tracking extract output file, select ‘Use Local TZ’ in Query and then select a time zone from the dropdown. If you don’t select this option, the output file defaults to Central Standard Time and doesn’t observe daylight savings time. This option isn’t available for data extension extracts. → click ‘Next’ button →
