Report
A document prepared to accomplish precise goals, usually written to order, and can be a formal or official written account of an incident, action or investigation.
Introduction (Report Element)
The section of a report that states the problem, provides a synopsis for the reader, explains what the report is about, and states the main points.
Body/Discussion (Report Element)
The section of a report containing all the specifics and facts, using headings and subheadings if necessary to guide the reader.
Conclusion/Summary (Report Element)
The section intended to keep the reader from getting lost in the details of the body while containing similar elements as the introduction.
Recommendation (Report Element)
An optional section based on the nature of the report, the aims of the writer, and the intended reader.
Concise (Report Principle)
The requirement that unnecessary words should be eliminated from a report without causing a loss of facts.
Pertinent (Report Requirement)
The requirement that a report should deal exclusively with the subject matter and clearly show the relationship of any other introduced matters.
Fair (Report Requirement)
The striving for objectivity where recommendations are based upon and consistent with verified facts contained in the report.
Statement
Information given, whether oral or written, made by a person concerning a matter under investigation.
Supporting Statement
A statement which supports, confirms, or corroborates a matter under investigation.
Negative Statement
A statement which does NOT support, confirm, or corroborate a matter under investigation.
Judges’ Rules
The rules governing administrative directions and the appropriate caution that must be administered in the case of an accused person.
ADVOKATE
A mnemonic for the 8 points of TURNBULL: Amount of time, Distance, Visibility, Obstruction, Known or seen before, Any reason to remember, Time lapse, and Error or material discrepancy.
Missing Person
A person who has not been seen or heard from and is reported missing by a person interested in or responsible for their welfare, regardless of the time elapsed.
Station MS
A column in the Missing Person Register used to enter the total number of reports received at the Station/Office for the month to date.
Cancelled (Missing Person Report)
A report status used when a missing person has been located and a criminal offence is disclosed.
Closed (Missing Person Report)
A report status used when a missing person has been located and no criminal offence is disclosed.
Process
Documents provided by law to secure the attendance of a defendant/accused or a witness at a Court of Law, including orders to do or abstain from certain acts.
Summons
A document issued by a Magistrate or Justice of the Peace commanding a person to attend a Court of Law at a specified time, date, and place.
Personal Service
The mode of serving a summons directly upon the person named therein, effected not less than 48 hours before the date of hearing.
Notice
A document issued by a Court of Law informing a defendant or witness of changes relevant to a matter listed for hearing.
Warrant
A document issued by competent authority, upon information on oath, directing a person to apprehend a person, enter premises for a search, or seize articles.
Warrant History Sheet
A document containing information for identifying and locating the person named in a warrant and recording the steps taken for execution.
Time Allowed Commitment Warrant (T.A.C.)
A warrant issued for the apprehension of a defendant/accused who is in default of paying a fine imposed by a court in lieu of a prison term.
Search Warrant
A warrant authorizing police officers to enter and search specified premises for evidence, stolen articles, or other things unlawfully obtained.
Affiliation Warrant
A warrant issued for the arrest of a parent who is in default of child/children support payment to the Court.
Remand Warrant
A document authorizing relevant authorities to keep a person in custody and produce them before the court on a specified date and time.
Distress Warrant
A warrant issued for the seizure and sale of moveable property belonging to a person in default of a fine payment, executed between 8:00a.m. and 4:00p.m.
Ejectment Warrant
A warrant issued by a Court to expel a tenant from named premises, executed between 9:00a.m. and 4:00p.m. on a court sitting day.
Domestic Violence
Physical, sexual, emotional, psychological, or financial abuse committed against a spouse, child, household member, or dependant.
Protection Order
An Order made by a Court containing prohibitions or directions outlining what a Respondent/Defendant should or should not engage in.
Signed Undertaking
A statement given under oath by a respondent indicating they will not engage in conduct specified in the domestic violence application.
Mentally-ill person
A person suffering from a disorder of the mind requiring care, supervision, treatment, and control for their own protection or the protection of others.
Mental health officer
A person designated under section 61(1) of the Mental Health Act, such as psychiatric social workers, registered mental nurses, or district health visitors.
R1 (Form)
The mandatory Incident Report Form used for general occurrences.
R3 (Form)
The form used specifically for burglaries and breaking offences only.
R8 (Form)
The form used for Domestic Violence offences.
Exhibit
Anything having bearing on, or that is relevant to, the matter under investigation.
Telecommunication system
The means by which messages are transmitted and received through electromagnetic waves, including telephones and radio telephones.
Police Control
The principal station in the radio telephone network responsible for supervising and controlling wireless communication throughout the Police Service.
Flash Messages
Messages with specific information regarding an event requiring immediate police action; they take precedence over all other messages.
Pocket Diary
An official diary approved by the Commissioner of Police issued to all officers to record activities connected with the performance of their duties.
Station Diary
An official register chronologically recording reports, occurrences, observations, and the movements of persons, arms, and ammunition at a station.
Beat
Any designated street, road, or area for which a police officer is responsible to patrol during his tour of duty.
Patrol
The movement by a police officer within a designated area for the purpose of preserving peace, engaging citizens, detecting offences, and protecting lives and property.
Day (Patrol Timing)
The period of time between 6:00a.m. to 6:00p.m.
Night (Patrol Timing)
The period of time between 6:00p.m. of one day to 6:00a.m. of the next day.
