Cognitive load
The amount of mental effort being used in working memory, which is depleted by unorganized information.
Context switching
Rapidly shifting focus between unrelated tasks or apps, which drains mental energy without improving productivity.
Single Source of Truth (SSOT)
One reliable, centralized place where all personal knowledge is stored and retrieved.
External brain
A trusted system that offloads memory retention to free mental capacity for deeper thinking, making intentional forgetting possible.
Compounding value
The idea that the value of knowledge increases as notes and ideas are linked together over time.
Information Management (IM)
Organizing, storing, and retrieving raw data or files (such as saving PDFs in a folder).
Knowledge Management (KM)
An organizational or team-level framework for capturing collective insight.
Personal Knowledge Management (PKM)
Applying Knowledge Management at the individual level through synthesis, connection, and personal thinking rather than just storage.
DIKW Hierarchy
The four-level knowledge continuum ordered specifically as Data → Information → Knowledge → Wisdom, where each level builds on the one below it.
Data (DIKW)
Raw, discrete facts with no context or interpretation (e.g., raw numbers like 38.5, 39.1).
Information (DIKW)
Organized data that answers who, what, or where (e.g., 'July rainfall averaged 30mm/day in QC').
Knowledge (DIKW)
Actionable insight or know-how (e.g., '>25mm/day causes flooding on España Blvd').
Wisdom (DIKW)
Evaluated understanding or know-why used to make policies or strategic decisions (e.g., redesigning drainage policy).
Bayanihan E-Commerce Case
A Quezon City handicrafts business case study illustrating information overload and context switching across multiple chat apps, resolved by centralizing into an SSOT.
KISS Principle (Folder Depth)
'Keep It Simple, Stupid' rule specifying a maximum folder depth of 3 to 4 levels so any file is findable in 3 clicks or under 15 seconds.
Standardized File Naming Format
The file naming structure YYYY-MM-DD_ProjectName_Descriptor_v1, which places the date first for chronological sorting and avoids special characters like / or #.
Drive Shortcut
A Google Drive feature (Shift + Z) that links to an original file without duplicating storage while inheriting the original file's permissions.
Metadata
Contextual data about a file (such as owner, creation date, and tags) used for search indexing.
Google Keep
A Google Workspace application best suited for micro-notes, quick checklists, temporary reminders, and voice or OCR capture.
Google Docs
A Google Workspace application best suited for formal, long-form documents, reports, heading styles, and structured synthesis.
4-Stage PKM Lifecycle
The exact four-stage workflow consisting of Explore → Curate → Consume → Capture.
Capture Stage
The PKM lifecycle stage emphasizing quick, frictionless collection of high-value ideas rather than polished writing.
Atomic Note
A single note focused on ONE specific idea to maximize reusability and interconnectivity.
Distilling
Summarizing and highlighting key insights to reduce information density.
Digital Hoarding
Saving raw, unfiltered, unprocessed material (like an entire 2,000-word article) without processing or synthesis.
Grab Image Text (OCR)
A Google Keep feature that uses Optical Character Recognition to extract typed text from a photo.
Note-Taking
Passive, verbatim capturing of information as-is.
Note-Making
Active rephrasing of information in your own words and connecting it to existing knowledge.
@-Mention (Smart Chip)
A Google Docs link feature that creates a ONE-WAY link only to the mentioned document without auto-generating a backlink.
Map of Content (MoC)
An index document that links related atomic notes by theme rather than folder location, solving the backlink gap.
PARA Framework
An organizational framework categorized by actionability into Projects, Areas, Resources, and Archives.
Projects (PARA)
Active, short-term efforts that have a specific end date.
Areas (PARA)
Ongoing spheres of responsibility without an end date.
Johnny Decimal System
A fixed numeric address system (Area.Category.Item) best suited for large, stable, multi-user shared libraries.
Fleeting Note
A raw, timestamped, unprocessed note captured quickly in Google Keep.
Literature Note
An organized note created in Google Docs that centers around a specific source while remaining close to the original text.
Permanent Note
An atomic concept note written in your own words in Google Docs and linked to other concept notes.
Top-of-mind dashboard
A small, curated surface displaying currently active notes or questions, serving as a portal rather than a replacement for the full archive.

One-Page Cheat Sheet
A quick-reference summary table consolidating key terms, definitions, file structures, and workflows for final exam review.
