Roles and Responsibilities During Emergency

 1. Follow emergency procedures outlined in   parks recreation emergency response binder

2. Maintain control of accident scene ie guiding patrons witnesses away into changeroom areas, clear entrance for ems

3. Coordinate staff action hand out detailed statement forms once victim is transferred to EMS

4. Ensure all parts of major emerg report are completed before opening facility again

5. If spinal board is taken, arrange for new board to be taken out on deck and organize retrieval of original

6. Contact supervisor and or on call supervisor immediately

7. Inform family of incident and where they are located specifically

8. Recovery and follow up

9. Prepare pool to open as early as possible

10. Treat your staff for shock as well as stress levels

11. Collect all documentation and ensure it is completed within 24 hours

Instructional Important Weeks: List things that need to be done for each week.

Week 1

  • Ensure instructors screen participants from previous level

  • If instructor unsure about skill level, PIC may rescreen them

  • PIC will communicate with CRP if child is not on list

  • PIC may confirm if child is registered or not in class

  • If available PIC introduces themselves and their instructor 

  • Outline important rules and any questions asked

Week 2

Waitlist and attendance will be monitored and managed

Week 3

  • Last week for child to be switched out of level

  • As PIC you should be aware of any challenges staff may have

  • Instructors begin worksheets

Week 4

Review what was taught and add on if necessary

Week 5

All items for level should be introduced and taught

Perform mid evaluation sessions

Week 6

PIC helps instructors with progress evaluation and how to properly complete progress card

PIC informs CRP how many participants will be attending exam

Evaluations will be recorded on worksheets

Final evaluation of skills

What is the buddy system for participants to go to the washroom/changeroom? 

  • Notify caregiver to take participant to washroom applies to kids under 7

  • IF CAREGIVER IS NOT AVAILABLE

  • Staff may have to escort the child. If possible, get 2 staff to do so

  • Send children in pairs

  • Staff would notify pic and secure coverage then wait for child outside of bathroom in public view

When to do 16.1 and what it is and why we do it. 

- We do 16.1 once every 30 days and the reason is to do inspection of pool fittings and outlet covers.

  • Contact maintenance to be on deck

  • Use a screwdriver, swim goggles or mask needed to do testing underwater

  • 3 people needed to perform testing

  • Person 1 should shut down filter system ensuring there is no suction, system is locked down or supervised

Person 2 is responsible for supervision. Only confirm to start once second person is present

Know all roles responsibilities of APAs, Lifeguards, Swim Instructors in general but also what their roles and responsibilities are in an emergency.

When dealing with pool fouling close pool for one hour (Feces, vomit, blood)

  • Vacuuming not recommended due to spreading fecal matter throughout the pool

  • Complete incident report regarding

  • Type of stool

  • Free available chlorine

  • pH level at time of fouling

  • Procedures followed

  • Time of reopening pool

  • Record in daily logbook

  • CHEMICALS MUST BE IN BETWEEN 0.5ppm and 4ppm (Close if 10ppm or higher) 7.2-7.8 Range

Liquid stool close for 12hr dispose in toilet

Backwash at 8-12 mark, take chem readings 3 times from 3 different areas

Do not vacuum 

Include date and time of fouling, type of stool, FREE AVAILABLE CHLORINE AT TIME OF FOULING AND START OF DA, ph level at the time, procedures followed, time of reopening, record in daily logbook

Max time in hot tub 15 min, 40°

Free available chlorine 1-3ppm in indoor pool, 3-5ppm

Ph level- 7.2-7.8 ideal range 7.4-7.6

Alkalinity- 80 mg/l to120 mg/l (recommended 90 – 120 mg/l)


Pool in charge 

  • Follow procedures maintain control of accident scene and witnesses move patrons to change room if appropriate, clear entrance area for emergency vehicles and staff

  • hand major emergency detailed statement forms to all staff members directly involved in situation

  • Arrange for equipment retrieval arrange replacement spinal board

  • Contact supervisor of aquatics and or on call supervisor

  • Inform family of incident and details of what hospital patron is being transported to. If under 18 staff must notify family of incident

  • Treat staff for shock and prepare facility to normal operation

Minor report 

  • Disturbance disciplinary action, minor first aid, occurrences not resulting in personal injury

  • If theft, patrons must call police. staff to notify corporate security. Submit to crp

Major emerg report

  • Completed within 24 hours

  • Discusses emergency categories, facility specifics, action plan, witness information, follow up

  • Includes rough floor plan showing where incidence occurred and tracks movement of all staff on duty

  • When filling form, staff must not discuss among each other 

Logbook contains

  • Staff attendance, uniform, qualification check

  • Phone check

  • Rec worker sign in sheet
