After printing all emails, compare the printed versions with those in the email folder to verify that they are all accounted for. Right-click and check off completed ones to track which were printed and processed, marking those verified as sent by customers with a red flag. Sort the paperwork into five distinct piles:
Dl-380: This pile should include all forms relevant to Dl-380 processing. Ensure the Record Type must be either II or L1 and verify that the Eligible Date is in the past and that the vendor’s signature and date are within one year. Upon verification, place it in the designated processing folder.
Dl-21sc vehicle: Collect all vehicle-related documents. For this type, the Record Type can be OI, RL, II, or DL, PH, as long as they are processable. It is crucial that the Eligible Date must be past and that the Driving Privilege is suspended. If it is not suspended, check PF19,1,1 to confirm the license 1 yr. duration. If future dates are involved, ensure that eligibility is within a week of the eligibility date and confirm any relevant petition paperwork.
Dl-21sc non-vehicle: Similar to the vehicle category, ensure accuracy of the Record Type according to the same limitations referenced above. Complete data verification is essential to ensure that all information, including timelines for processing, meets the requirements for non-vehicle records. If there are no discrepancies, file for processing.
Dl-373 compliance: Documents in this pile need to be evaluated to ensure that all compliance requirements are met. Verify if the customer has a valid license; if so, review PF19, 4 for any violations. Any violation recorded between the issue date and eligibility date must be added to the record. Additionally, if a customer fails to notify the vendor after buying a vehicle, the recall associated with that vehicle must be documented carefully. If compliance is restored, keep the maintenance records with IILL.
Dl-373 non-compliance: This requires a close examination of existing records to determine whether compliance checks can be resolved. It’s crucial to ensure that the Record Type is II or IL or RI with either a past or future eligibility date. Address discrepancies promptly and review the status of recalls associated with compliance.
All Dl-373 records must undergo Quality Assurance (QA) before they can be processed. To accurately calculate the new eligibility date, use Excel to track timelines effectively. Analyze the license issue date and calculate through to the non-compliance vendor signature date. Have all calculations verified with a supervisor before updating the information in Conversation 42 with the Restoration Type as 'CR'.
