Tools like the PIECES framework and data flow diagrams (DFDs) were utilized to uncover issues related to data safety, accessibility, and process efficiency. Recommendations include implementing a standardized appointment reminder system, a customer database in Excel, and a comprehensive inventory management system within a budget of $1000 CAD.
CLIENT BACKGROUND
Mèche Coiffure was founded in November 2018 by Maria Lacorte and Nadia Lanni, offering hair care and aesthetic services. The salon focuses on customer experience with values centered around exceptional service. The key challenges faced include efficient data management and customer appointment handling.
TEAM MANAGEMENT
Effective communication and collaboration were central to Team 2's success. Meetings were structured with clear roles (leader, scribe, facilitator) and a team contract enforcing accountability. The primary challenges included scheduling and maintaining member commitment, which were managed through collective agreements and availability tracking.
SYSTEM INVESTIGATION
The investigation leveraged interviews, observations, and document analysis to map the current system and operations. Key components of the Mèche Coiffure system include customer management, service provision, product reordering, and employee management. A detailed glossary of terms was developed to assist understanding.
PROBLEM ANALYSIS: PIECES FRAMEWORK
Issues were categorized under the PIECES framework, revealing problems in performance, information management, control, efficiency, and service quality. Critical problems include unstandardized appointment confirmation processes, reliance on manual tracking, and a lack of accessible data storage, leading to operational inefficiencies.
USER REQUIREMENTS ANALYSIS
Interviews highlighted the owners’ low comfort with technology, indicating a need for user-friendly solutions that accommodate their capabilities. The focus was on creating accessible systems that would allow staff to manage customer interactions and inventory effectively without overwhelming the owners.
SPECIFICATION AND DESCRIPTION OF THE PROPOSED SYSTEM
Proposals include a formal appointment confirmation process, a digital customer database, standardized templates for inventory and employee management, and internal training to familiarize owners with new systems. Also, automated appointment reminders and simplified data entry methods were suggested to improve staff efficiency and customer communication.
CONCLUSION AND LIMITATIONS
The project successfully highlighted Mèche Coiffure's operational deficiencies and proposed viable solutions. However, the limited timeframe restricted analysis scope and depth; a broader systems implementation could yield even more transformative results.
