Chief of Staff, Nursing Education, and Organizational Health Board Meeting Notes - May 4, 2026
Chief of Staff Meeting and Union Updates - Date: 05/04/2026. - The Chief of Staff meeting was described as short, with the main point of discussion involving templates. - Dr. Biden led the meeting today in the role of Dr. Kappish, who is serving as the Chief of Staff for the day. - Union Status: The union is officially back in the building. While they never technically left, they are setting up downstairs. - Financial updates regarding the union include that direct deposit for union dues is available again, for which an email was previously sent out. - The status of the EOPL file remains uncertain at this time. # Jasper System Implementation - A new Jasper system is scheduled for implementation on May 11. - This rollout was previously delayed due to certification requirements. - This is a broad system rollout, not limited only to the Detroit location. - Initial Access: Access will be restricted to approximately 12 people initially. This limited group will allow the quality team and those overseeing the system to become acclimated. - Additional staff members are expected to be granted access at a later time following the May 11 launch. # VSAT (VASAP) Enrollment and Education - Open Enrollment: The VSAT (Veterans Affairs Staff Accelerated Program) cohort application window is open until May 8. - Applicants must obtain supervisor approval after filling out the application. - The speaker and Dr. Faya review eligible candidates for recommendation. - The facility is provided a limited number of free licenses, and final selections are made externally. - Outcomes of the selection process are expected to be known by next week. - Post-Learner Courses: All staff are reminded to check the TMS (Talent Management System) for any pending post-learner courses to complete. - Cerner Updates: RNs are encouraged to continue rounds regarding Cerner. Usage of super users for ticketing has decreased as staff become more accustomed to the system. # Attendance, Timekeeping, and Microsoft Teams Guidelines - Check-in Protocol: Staff must use Microsoft Teams to check in upon arrival. This is used for FATE test reasons and attendance tracking. - The system helps management track attendance for certify cards, especially when staff take AL (Annual Leave) or sick leave or arrive late. - Accurate tracking is required due to the new role of Dr. Biden/Dr. Baya as deputy chief and increased facility scrutiny on timecards. - Late Arrivals: If a staff member is 20 to 30 minutes late, they are requested to post a text in Teams noting the late arrival. - The goal of these measures is to ensure timecards are correct and to avoid any formal "fact-finding" investigations within the department. # Onboarding and Administrative Transitions - Onboarding Issues: With the removal of ePass, issues have surfaced regarding the PIV card process. - Currently, it takes approximately 2 weeks to approve and create an account, which is delaying the onboarding of residents, fellows, and staff. - Dr. Biden is meeting with other DELs (Designated Education Officers) to address these delays. - Pharmacy Access: For the Omnicell system, pharmacy may shift access management to unit managers directly rather than through the education department. - NEO (Nursing Excellence Orientation) Rotation: There is a plan to re-implement a rotation for leading NEO to assist Jill. Historically, this was rotated between Jill, the speaker, and other staff such as Mimi or Vivian. # Simulation Center and TMS Updates - Simulation Lab Utilization: There is an increase in requests to use the lab for trainee check-offs. - Tiffany mentioned that trainings may involve running two rooms simultaneously. Assistance from Tanika, Latanya, and Ashley may be coordinated. - Space Committee Discussion: Dr. Mata reviewed the Simulation Center for potential RQI (Resuscitation Quality Improvement) equipment placement. Tiffany noted there is no available space and expressed concerns that moving vans/equipment into the center would cease simulation activities. - TMS Burnout Reduction: Efforts are underway to reduce training burnout by vetting local and national assignments more strictly. - Test-Out Options: Future locally required TMS trainings must include a test-out option in addition to course content. - EHRM (Electronic Health Record Modernization) Transition: As of next week Monday, Oracle National is transferring the responsibility of EHRM TMS training programs to local facilities. This includes management of assignments for workers without compensation, clinical contractors, and HPTs. - A local SOP (Standard Operating Procedure) must be developed for EHRM competency validation, including an attestation process for staff with prior Cerner experience (e.g., those coming from Henry Ford). # SharePoint and Staff Recognition - SharePoint Project: Tiffany is updating the nursing SharePoint site following Liz's departure. The current plan is to develop a robust summary page encompassing programs from Jill, Wendy, and TJ. - SharePoint Alerts: The automated email alerts for simulation room requests will be discontinued on July 1. Staff must alert Tiffany manually when requests are submitted. - Nurse Aide Week: Preparation is beginning for Nurse Aide Week, scheduled for June 11 through June 17. - Wendy and Lisa are planning an education fair and recognition events (e.g., giveaway bags, "half-day" trainings, and jeopardy games) to celebrate healthcare assistants separately from other nursing competencies. # Questions and Discussion - Leave Adjustments: A question was raised regarding vacation leave approved for 8 hours while the staff is now on a 10-hour schedule. The speaker confirmed that they can revert the approved leave so the staff member can correct it to 10 hours. - Student Placement: TJ mentioned a student from Chamberlain University, Taylor Giveits, will be working with the education department under Danielle for a project; the student does not require computer access. - Policy Updates: Christine returned a policy in word version to TJ for updates. - Research Week: Mentioned as beginning on the 13th, which impacts the process for printing posters via medical media or logistics. - Cerner Teaching Responsibilities: Discussion occurred regarding who should teach Cerner classes post-deployment. The speaker expressed that informatics nurses, rather than general education staff, should lead these sessions. - Meeting Adjourned: The meeting concluded at 09:47.
