PPW-1-1 Block Format Letter Notes (Emica Valley, Placer Hills Real Estate)

Objective

  • Create a block format business letter for Emica Valley, a realtor consultant for Placer Hills Real Estate.
  • Follow block format: all lines begin at the left margin.

File and document setup

  • Open a new document in Microsoft Word: Word → Blank Document.
    • If Word is already open: File tab → Backstage view → Blank Document.
  • Save the document:
    • File tab → Save As → Browse to choose location → Type the file name as PPW-11-11.docx → Save.
    • Alternative: press F12 to open the Save As dialog box (on some laptops Fn+F12 may be required).
  • File naming convention referenced: PPW-11-11.docx.

Create an AutoCorrect entry

  • File tab → Options (Word Options) on the left to open the Word Options dialog box.
  • Proofing on the left → AutoCorrect Options to open the AutoCorrect dialog box (Figure 11 to 1818).
  • AutoCorrect entry steps:
    • Click the AutoCorrect tab (if not already selected).
    • In the Replace area, type Kevelly.

  • Type the body paragraphs of the letter and insert a nonbreaking space where needed:
    • Paragraph 1 (end with a period, then press Enter after the paragraph):
    • Please read each paragraph before signing the disclosure statement documents. As you fill out the required disclosure packet, it is critical to the transmission of sale that you give as much information as possible about your residence, no matter how small or insignificant. Please use additional paper if necessary and make a notation to that fact.
    • Paragraph 2 (end with a period, then press Enter):
    • If there is information about the neighborhood or neighbors that you as a buyer would want to know about, be sure to reveal that information.
    • Nonbreaking space instruction:
    • Delete the space between the words real and estate in the second paragraph and press Ctrl+Shift+SpaceCtrl+Shift+Space to insert a nonbreaking space between them.
  • Reference to disclosure statement item:
    • Be sure to address those types of questions on the real estate transfer disclosure statement item number 1111 on page 22.

Closing lines of the letter

  • Place the insertion point on the blank line below the second body paragraph and type:
    • Best regards, (then press Enter twice)
    • Emaca Valley (press Shift+Enter to insert a line break)

    • Placer Hills Real Estate (press Enter to insert a paragraph break)
  • Initials and capitalization:
    • Type your initials in lowercase letters and press Shift+Enter to insert a line break. Word automatically capitalizes the first letter because it starts a new paragraph.
    • If automatic capitalization is undesired, click the AutoCorrect smart tag and select Undo automatic capitalization (or press Ctrl+ZCtrl+Z) to undo capitalization.
