Booth Location & Spatial Strategy

  • Entry Path & Bar Orientation

    • Attendees enter from the left-hand side and immediately face the bar.

    • Bar remains a core traffic anchor; proximity to the free bar is considered a draw for visitors.

  • Preferred Stand Placements

    • Cape last year wanted to be close to Demi, but current consensus is to keep some separation for private sales conversations.

    • Present provisional map:

    • Bottom-left corner suits Cape (offers privacy from Ausbet/Demi views).

    • Balltec / Foundation presently opposite Cape but switch-outs possible if Paul’s team wishes

  • Competitor Visibility Concerns

    • Cape worried Demi may "pour over our shoulder" while Cape discusses its trencher model with potential buyers. Extra distance preferred.

    • Similar privacy rationale extends to any future shared-market prospects.

Rigging, Lighting & AV Improvements

  • Rig Size

    • New overhead box truss is considerably larger than 20232023’s mid-sized rig, allowing light from above and moving sides.

  • Model Illumination Fixes

    • Last year inside-lit models appeared shaded when viewed from aisle. Note logged; overhead + side spots requested.

    • Natural light at RAI (largely glass ceiling) complicates contrast—extra fixtures mitigate bright hall ambience.

  • Dropped Elements (Cost / Practicality)

    • Hanging rig lights shown in early renders will NOT be installed.

    • Floor-level hologram of the Ventera logo cut—high expense & near-invisibility amid bright hall + foot traffic.

Structural Components & Furniture

  • Cupboards / Storage

    • Each partner wall keeps one integrated cupboard (two shelves). Extra cabinetry in bar zone (more than last year because builder gear won’t occupy them).

    • Cape lost two cupboards in 20232023 after builders commandeered space—explicitly avoided this year.

    • Suggestion: turn Cape’s larger scale-model plinth into an additional cupboard (cost enquiry pending).

  • Tables & Overhang

    • Last year tables protruded beyond wall line, creating bigger worktops & openness; team prefers to repeat.

  • Stools

    • Request for stools with at least mid-back support—"nice to have a back on your stool when you’re getting older." Picture indicates mid-backs will be provided.

  • Sink & Fridges

    • One sink confirme

    • 20232023 mismatch: fridges stuck out of cupboards. Proper built-ins demanded.

Artwork, Branding & Visual Identity

  • Design Lead

    • Fallon (same designer as 20232023) will own files for all four companies & shared assets. Teams should send changes directly to her and Anna.

  • Side-Edge Green Debate

    • Green side strips used 20232023 to create umbrella link to Ventera. Some concern (Barry) about mixing corporate palettes (e.g.
      Cape orange + Ventera green). Majority favour keeping green—proved coherent last year & ties rig banner to corners.

  • Banner (Overhead)

    • 20242024 banner doubled in size; individual partner logos to be enlarged & centred (last render simply "blew up" 20232023 art as placeholder).

    • Risk: may "overpower" corner booths; balance to be checked once new proofs ready.

  • Inside Banner Faces

    • Option to print inner surfaces (no extra cost 20242024); tension between visual cleanliness and extra imagery for shop-window appeal.

    • Decision pending on mock-ups. Possible: single hero image per company to avoid clutter.

  • Scale-Model Plinth Branding

    • Render shows Ventera-green wraps; actual will be black (as 20232023) with no Ventera logo.

Marketing Content & Deadlines

  • Each company to review / swap images, add text, or refresh hero shots.

  • File Cut-off: please deliver new assets by 15Aug15\,Aug (≈ 33-week window) so Fallon can update master files before print pre-check in early September.

Event Logistics & Operations

  • Pass Allocation

    • 2020 exhibitor passes negotiated (vs 88 last year). Each company to supply attendee list when Anna circulates sheet early August.

    • Additional passes ≈ £100100 each, but goal is to stay within 2020.

  • External Activities / Hospitality

    • No off-site Cape dinner planned this year (unlike 20232023). Osbit will stock drinks on the stand for informal hospitality—no formal reception.

  • Model Transport

    • New UK logistics contact (via Ortec) to quote shipping Cape’s larger trencher model. Anna to forward details to Gareth.

  • Exhibitor Directory

    • Offshore Energy website currently lists only Ventera. Request to add all member-company names ASAP for visitor searchability.

  • Accommodation

    • Core group liked last year’s Park Central hotel but some booked elsewhere. Everyone asked to share hotel picks so late bookers can consolidate.
