OxEd -Aaron MEETING Notes

Overview of the session and team introductions

  • Aaron is Head of Support and Support at OxEd and Success; onboarding is led by Aaron and the RGR team will continue support after onboarding.
  • Katie Day: Western Regional Sales Director at Really Great Reading; former Jeffco educator; proud to support Jeffco team; excited to support this year.
  • Roxanne: member of the OxEd support team; will be your district-level support for RGR needs.
  • OxEd and RGR work closely together; RGR is US-based and supports schools; aim is to show how the system works, including assessments and training, and address any questions.
  • Suzanne/Sue Ann Holly and Martha introduced as central leads for Powderhorn team; roles clarified for coordination with Powderhorn coaches and teachers; Erin to kick off training.
  • Donnie (Dawnie) is a US-based Speech and Language Therapist on OxEd team to support US customers; will join monthly with Powderhorn team.
  • The session emphasizes built-in support structure: local district team + central OxEd team + US-based experts for ongoing guidance.

Program structure: TELTED (TELet) and NELI/whole-class model

  • The district buys the TELTED package, which includes two main components:
    • TELTED NELI: a 20-week targeted intervention (small-group) for students who need language support; up to 6 students per group (maximum).
    • TELLET Whole Class: universal enrichment for the entire class.
  • Language Screen is used to assess all students to determine who needs intervention; the screen generates a report identifying those who need support.
  • The intervention plan uses a tiered approach:
    • Tier 1: Whole class engagement via TELLET Whole Class.
    • Tier 2: NELI 20-week small-group intervention for identified students.
    • The evidence base: all activities are research-based, with claims supported by data and published research; claims about improvements are backed by data.
  • Process flow: screen all students -> identify those needing intervention -> place in NELI groups -> provide whole-class TELLET enrichment -> collect and review data/evidence for decision-making.
  • Timeline and rollout structure:
    • First term: training, assessment, and setup in the system.
    • From now to December: training and setup.
    • January onward: start the 20-week NELI intervention in targeted groups.
  • Language intervention is designed to be integrated with regular school duties and not overly burdensome: overall scheduling is presented as manageable once familiar with the system.

Resources included with TELTED and TELLET

  • TELTED (NELI) resources:
    • TELTED Handbook
    • TELTED Bear puppet (children love it in one-on-one sessions)
    • Flashcards
    • Posters for use in classrooms
  • TELLET Whole Class resources:
    • One Teaching Handbook
    • Access to the Digital Resource Library (songs, books, cards, etc.)
  • All resources are intended to be used to support both small-group and whole-class interventions and are designed to be aligned with the CPD training.
  • The Digital Resource Library includes songs, books, cards, etc., all accessible via the portal.

CPD and training

  • CPD-certified training is provided online via the FutureLearn/online portal.
  • Training covers how to deploy TELTED and TELLET, how to conduct language screening, how to run group sessions, and how to document progress.
  • The expectation is that the training will answer around 95% of questions; the rest are addressed during the live session and through follow-up support.
  • Training ensures alignment with the language screen, group sessions, and intervention delivery.

Portal setup and login workflow

  • Portal: OxEd portal for account setup, class setup, assessment, and training invites.
  • Account setup flow:
    • If your school has been set up for an account, you will receive an email similar to: "Welcome to OxEd—you've been set up for an account. Click here to set your password."
    • After clicking the link, you create a password and log in.
  • First login security: Two-Factor Authentication (2FA) is required since child data is stored in the system.
    • 2FA options:
    • SMS text to mobile number
    • Authenticator app (Google, Microsoft, etc.)
    • You may be asked to set up a spare device; you can skip this if you prefer, but 2FA is required.
    • If you have issues with 2FA, contact support to reset.
  • Login portal specifics:
    • Access the system via the URL: assess-otp-inassessment.com (as an example reference in the session).
    • Sign in using your region (USA or UK, etc.).
    • If you forget your password, use the password reset link via email.
  • Once logged in, you see a page labeled "My School" with the school name; click to enter the school record.
  • The top navigation shows tabs (e.g., Classes, Users, Descriptions, School Profile) and an active bar indicating your current role (Admin, Teacher, etc.).

User roles and permissions in the portal

  • Roles available:
    • Owner: full ownership and control over the account
    • Admin: can make changes (add classes, add users, etc.)
    • Teacher: can view and manage their classes, perform assessments, but cannot modify account settings
    • Trainee (training-only): should be avoided for regular users; not recommended for general use
  • Practical guidance:
    • Assign teachers as Teacher accounts for day-to-day work.
    • Assign senior leaders as Admins when they need to make changes.
    • You can change a user's role later if needed.
  • Admin view shows owner and admins; you can click on a user to change their role or to assign admin/owner status.
  • If a user is not receiving emails (e.g., invites), check spam/junk folders, as invites come from a no-reply address.

Class and student management

  • Creating a class:
    • Navigate to Classes -> Create Class, provide a name and year group, then Create.
  • Adding students:
    • Manual: Classes -> Add Student; provide first name, surname, date of birth, student reference, gender; optional fields available.
    • Bulk import: Students -> Import Students; download the template, export from MIS/Mastering software, paste data into the spreadsheet, and upload.
    • If sending a bulk import to OxEd, avoid email attachments; use the in-chat secure upload feature for data transfer.
  • Clever/EduLink integration:
    • Currently in development; aim to auto-import students and auto-assign classes once integration is signed off (expected within the next week or two).
    • Until then, manual add is available; Clever integration will simplify class and student synchronization across systems.
  • Student data fields:
    • Required: First name, surname, date of birth, student reference, gender
    • Optional: additional demographic fields (to be expanded with advanced reporting)
  • After a student is added:
    • The student profile appears with two actions: a QR code and a Start Assessment button.
    • If a student's details need updating, use Edit Student.
    • Transfer a student to another class if needed.
  • Language Screen access (how to start assessments):
    • Each student row includes a Start Assessment button which launches the Language Screen for that student within the web app.
    • Backup option: the web app can also launch a camera to scan a QR code or download PDFs of all class QR codes as a fallback.
    • For the US market and tablets, a new web-based Language Screen is used; if issues occur, the older QR workflow remains as a backup.
  • Language Screen access while using the portal:
    • Access the Language Screen from the student’s page; this is the standard flow for starting an assessment and is covered in training.

Language Screen details and scoring

  • Overview:
    • The Language Screen is a short test, typically 5extto10extminutes5 ext{ to } 10 ext{ minutes}, designed to be quick and engaging compared to longer paper-based tests.
    • The web-based tool is integrated into the portal and uses a short 5–10 minute administration with four assessment areas.
  • Four assessment areas (as stated in the session):
    • Depressive vocabulary (likely a misstatement; intended to be one of either receptive or expressive vocabulary)
    • Listening comprehension
    • Another vocabulary (likely the second vocabulary
