HubSpot Update (March 26, 2026)

E-Mails & Newsletter

  • Implementation of email and newsletter functionalities within HubSpot.
  • Total number of newsletters sent via HubSpot: 11 newsletters.
  • Performance metrics for these newsletters include an open rate of 24%, a click rate of 5.2%, and a click-through rate of 22%.

Forms

  • Creation of multiple migration templates for the following: estos, STARFACE, and Gamma OKZ.
  • Migration updates:
    • Estos: Migration is completed.
    • STARFACE: Migration is in progress; nearly completed with a few complex forms still undergoing migration.
    • Gamma OKZ: Migration is about to commence; currently only the contact forms are being migrated.
  • Limitations: Not all forms can be migrated at this time, as some utilize features that HubSpot does not support in its default configuration.

Lifecycle Stages

  • Currently, the implementation of lifecycle stages is ongoing. The planned stages include:
    • Lead
    • Marketing Qualified Lead (MQL)
    • Customer
    • Partner
    • Ex-Customer
    • Ex-Partner
  • Scoring integration occurs within the CRM but is synchronized with HubSpot through a custom integration solution.

Scoring

  • The scoring implementation is still ongoing and involves:
    • Combining scores across two dimensions:
    1. Level of Fit: This dimension assesses whether a contact aligns with the target audience guidelines, determining fit for marketing initiatives.
    2. Level of Engagement: This aspect allocates points for actions taken by contacts that have been predefined, thus measuring their engagement with marketing efforts.
  • Specific scores (e.g., A1, A2, and B1) are slated for transfer to the Sales team once the configuration setup is finalized.

Reporting

  • Reporting features are also under development and aim to yield insights on:
    • Website performance
    • Selected social media platforms
    • Email campaign efficacy
    • Lead funnel analytics
  • The completion of reporting functionalities is contingent upon the fulfillment of other outstanding tasks within the project timeline.

Custom HubSpot CRM Integration

  • First meeting held with SMC on February 27th to discuss project specifications. Key points include:
    • Existing requirements have been communicated to SMC; they have expressed confidence in fulfilling these implementation needs.
    • Currently awaiting a pricing proposal from SMC.
    • Preliminary tasks are being performed, including field mapping to prepare for migration and integration.
    • The project scope is targeted for completion by June 2026.

Additional Updates

  • The HubSpot update encompasses further initiatives including:
    • Standard nurturing processes for leads and customers.
    • Development of a unified newsletter specifically branded under Gamma Sales.
    • Launching a Cloud & AI campaign, set to commence in April 2026.
