Working on Designs
- Updating design information.
Orders in Progress
- Sales -> Orders in Progress contains various order types.
- Statuses indicate design work needed.
- Salespeople input information that feeds into the master design module.
Master Design Module
- Found under Designs.
- Orders have two aspects: getting goods into the shop and assembling artwork.
- Artwork may already be done, speeding up the process.
- New designs are added to the designs database.
Creating Designs
- Designs can be created without a sales order, directly from the design section.
- Useful for existing customers without new orders.
- Suitable for in-house designs for own product lines.
Designs Module Overview
- View All Active: Shows only active designs.
- View All: Shows every design ever done in the system.
- Rationale for not deleting designs is to retain information, instead, make them inactive.
- Design Number
- Design Name/Job Name
- Customer (if applicable)
- Design Owner
- Thumbnail Indicator
- Attachment Indicator (ATT)

Variations of Designs
- A decimal after the design ID indicates a variation of the design.
- Variations are often different color schemes for different garment colors.
- Example: Black logo on white shirts, white logo on black shirts.
- Two ways to handle variations:
- Create a variation linked to the original design.
- Clone an existing design.
- Variations are attached to the original.
- Cloned designs are separate.
- Some users prefer separate designs for clarity in order processing.
Viewing a Design
- Provides basic information and thumbnails.
Tabs within a Design
- Variations: Shows variations of the design.
- Production: Shows the statuses.
- Royalties: Shows royalty information.
- Notes: General notes about the design.
- Attachments: Attachments associated with the design.
- Proofs: Proofs sent to the customer.
- Print: Printable forms.
- Access to these tabs is controlled via access rights.
Access Rights for Designs
- Located in Utilities -> Employees -> Access.
- Focus on the design section.
Access Rights Options:
- Access to the Designs Module.
- Access to the Design Menu (browse).
- Record access (all designs).
- General Controls:
- Set user as an artist.
- Add new designs.
- Allow Design Logging:
- Record time spent on design.
- Options to enforce specific design tasks.
- Options to enforce start and stop times.
- Otherwise, record total time.
- Allow design deletion only if not used on a sales order.
- Edit grid finds.
- Grid finds used to group designs together for faster access.
- Useful for frequent customers.
- Allow design updates from the order itself.
- Allow master design update from the order.
- Tab Accesses:
- Design tab: Full, No Access, or Read Only.
- Control access to each design tab.
- Specific Controls:
- Design deletion: Can be limited to designs not on sales orders.
- Download thumbnails.
- Attachment Options:
- Limit file sizes for attachments.
- Limit file sizes for thumbnails.
- This is for reference, not actual artwork editing.
- Illustrator is a design editing software.
- Shopworks is used to keep track of what was done and provide information to other departments.
Design Types
- Design types dictate the information displayed on the screen.
Design Templates
- Design templates are completed by artists.
- Basic information includes locations and number of colors.
- Design type dictates the number of initial locations.
- Design type dictates what information shows up within each location.
- Design types are customizable.
- Screen Print: Based on colors.
- Embroidery: Based on threads.
- Text: A text box for relevant information.
- Parameter: Create custom parameters of what information to show.
Design Type Settings
- Located under Company Setup -> Design Types.
- Four formats: Screen Print, Embroidery, Text, Parameter.
- Location Behaviors:
- Number of Initial Locations: When a new design is created.
- Number of Location Details: Colors.
- Max Number of Locations: Maximum locations allowed in a design.
- Max Number of Location Details: Maximum colors.
- Embellishment Locations
- Custom Fields:
- Design specific.
- Location specific.
- Detail or location detail specific.
- Custom field value lists for drop-downs.

Statuses
- Statuses are created for designs.
- Statuses can be very simple or very complex.
- Statuses managed like orders.
- Chronological: Automatically starts with the first status.
- Checklist: Require checking off each status.
- Default the first option on design creation.
- Ignore the first option for the status.
Design Types Setup
- Edit each detail individually:
- Embroidery: thread colors.
- Promotional product: multiple colors.
- Digital Printing: parameter-based.
- Direct to Garment: text-based.
Artwork Management
- Company structure, art manager might assign specific designs to specific employees.
- The design module can assign designs to specific employees like a production module.
- Store Finder might generate lists of artwork assigned to each designer.
Working with Designs
- Add colors to designs.
- Colors come from settings under production.
- Stock Inks: standard Wilflex List
- Stock threads: the Madeira list, other lists available.
- Can link to a local server.
- Designs -> Home-> view all
- Designs -> Home-> add design

- Assign to particular artist.
Managing Designs
