Supplier Matching Activity: Interactive Event Planning
Title: Supplier Matching Activity: Interactive Event Planning
Objective:
Enhance students' understanding of the event management supply chain by actively engaging in matching supplier offerings with hypothetical guest requests, developing critical thinking, collaboration, and decision-making skills within event planning.
Activity Name: Supplier Matching Challenge
Materials Needed:
Index cards (or digital equivalents if using online tools)
One set with various supplier names (caterers, AV techs, venues, decorators, etc.)
Another set with different guest requests (specific cuisines, venue styles, tech needs, etc.)
Whiteboard or flip chart
Markers
Timer
Printed guidelines for each supplier and request (if using physical cards)
Instructions:
Preparation and Setup (10 minutes):
Prepare two sets of index cards: one set labeled with various suppliers and another with different guest request scenarios. Each supplier card should include basic information such as name, services offered, and pricing, while guest request cards should specify type of event, guest preferences, and budget (e.g., wedding, corporate meeting, outdoor festival).
Shuffle the cards and distribute them randomly around the classroom or prepare them for a digital matching platform.
Introduction to Activity (5 minutes):
Explain the purpose of the activity: to learn how to match suppliers with event requirements effectively.
Provide examples of why it's crucial to understand both the supply side and client preferences in event management.
Matching Activity (30 minutes):
Divide students into small groups (4-5 per group). Each group receives one set of guest requests cards and must find suitable suppliers from the available supplier cards.
Encourage groups to discuss the reasoning behind each match, taking into account aspects like budget, specific needs, and preferences.
Set a timer for 20 minutes for them to make their matches.
Presentation and Feedback (15 minutes):
After the matching, each group presents their matches to the class.
Facilitate feedback and discussions on each match, encouraging constructive critique about the alignment of suppliers with requests. Highlight any mismatches and discuss why certain suppliers may not be ideal for particular requests.
Conclude with key takeaways about flexibility, creativity, and understanding client needs in the event planning process.
Differentiation Options:
For advanced students, introduce additional complexities such as budget constraints or last-minute changes to guest requests.
For students needing more support, provide visual aids or alternative examples where suppliers can clearly meet guest requests based on previous event case studies.
Follow-up Suggestions:
Assign a reflective writing task where students detail what they learned about supplier selection and guest interactions.
Encourage students to research a local supplier that they think could fit a guest request in a real-world scenario and present their findings in the next class.
