PRINCE 2 PROCESSES

Starting up a Project: consissts of the Pre-Project Stage. Needs an executor who may or may not employ a PM at this point. A mandate for the project is created which has a Project brief.

Important questions to ask at this stage are: Do we have a Viable worthwhile project? Are the Prerequisites in Place? 

Initiating an Project (Initiation stage): Before the Project is approved and the Managing the stage Boundaries (MSB) is enacted, the Project Board (which consists of the senior user, executor and senior supplier)must review the Project Brief to ensure that it aligns with the organization's strategy and objectives. Once approved, the Project Board can authorize the project to proceed to the next stage, ensuring all necessary resources are allocated and risks are assessed. Following this review, the project then moves into the Stage Plan development, where detailed plans are created to guide the project's execution and control throughout its lifecycle. The Stage Plan will include timeframes, costs, quality measures, and the roles and responsibilities of the project team, leading towards a successful project delivery. This structured approach enables better communication among stakeholders, minimizes risks, and ensures adherence to defined objectives and outcomes.

At this stage, the detailed planning includes; The tailoring, management approaches, controls, project plans, full business case.

Controlling a stage and Managing Product delivery ( Management stages and Project Delivery stages): At this stage the project manager goes into full operation. 

Work packages which were created by the PM at the initiation stage, will be at this stage, submitted to the Team Manager who is the specialist, for them to agree upon.The Team manager will also write check point reports to the PM who will in turn write a Highlight report and send it to the Project Board. 

Summarily, the PM provides the Project Board with sufficient information, so that the Board can review the success of the current stage, submit the next stage plan, review the updated project plan and confirm continued business justification and acceptability of risks.

This process is critical for ensuring that deliverables are produced according to the project requirements and within the desired timeframe, as well as for maintaining clear lines of communication between all involved parties.

In Controlling a Stage, the PM is focused on product delivery. This is achieved by assigning work packages to the specialist (Team Manager), monitoring the work and delivery handling arising issues and risks, report progress, take corrective action.

Closing a Project

Although this is not a stage in itself, it forms part of the last stage.

The project is closed when the objectives set out have been met or the project has nothing more to contribute.

During this phase, the Project Manager ensures that all project deliverables are accepted and signed off by the relevant stakeholders, evaluates the project performance against initial plans, and documents lessons learned to inform future projects. Additionally, a final report is prepared summarizing the project's outcomes, detailing any variances from the original plan, and providing recommendations for improving processes in similar future projects. Furthermore, a formal handover of the project to the operational team is conducted to ensure that the ongoing maintenance and support needs are clearly understood and addressed. Finally, the project team holds a closing meeting to reflect on the project experience, allowing all members to share insights and feedback on their contributions, which enhances team dynamics and prepares everyone for future collaborations.
