Project Goal and Context

  • Primary Objective: Simplify the Digital Content & Digital Media (DCDM) Jira ticket-creation process and migrate the dedicated “DCDM” board back to the consolidated DC-UX Design board.
    • Current DCDM board is legacy (≥ 7 yrs old) and overly complex.
    • Migration will centralise visibility, enable sprint cadence, impose story-point estimation, and broaden designer assignment flexibility.
  • Secondary Objective: Clean up legacy fields, images types, and categories so requesters fill out only what is truly needed.

Current Pain Points

  • Multiple redundant issue types & custom fields (e.g., separate “Digital Image Request” vs. “DAM Asset Upload”).
  • Inconsistent or obsolete dropdown values (e.g., outdated business teams, region list, TI Store vs. myTI).
  • No sprint cadence; DCDM tickets sit in an open queue, making priority negotiation ad-hoc.
  • Limited transparency for roles outside Kelly/Cindy (e.g., Production Coordinator Tanya).
  • Story points absent, so design effort estimation is unclear.
  • “SME review” & “SME approval” fields inconsistently used, causing re-work.
  • Mandatory fields (e.g., file name, keywords) often unknown at ticket-creation, delaying submission.

Proposed Structural Changes in Jira

  • Project: switch from standalone “DCDM” project to DC-UX Design.
  • Issue Type: collapse disparate issue types into a single Task – Digital Image (sub-typed by new Category field).
    • Other DC-UX issue types remain: Bug, User Story, standard Task.
  • Core Fields to Retain
    • Summary, Description, Attachments, Priority.
    • Assignee (open), Reporter (auto), Due Date (set by requester).
  • New / Re-emphasised Fields
    1. Epic Link – ties work to design system, front-end, or creative initiative epics.
    2. Sprint – tickets pulled into 2-week UX sprints.
    3. Story Points – complexity metric (e.g. 11 = single image, 33-55 = family of icons over several weeks).
    4. Category – replaces old issue-type sprawl; draft list:
    • DAM Asset Upload
    • UI Icon
    • Device Marking
    • Image Standards
    • Documentation (research / spec)
    • Creative / Other (catch-all)
    1. Image Type – context-sensitive dropdown that appears when Category requires it (progressive disclosure). Example subsets:
    • Banner, Photo, Chart, Diagram, Illustration, Animation.
    • Diagram sub-list (initially 13 of 47 most-used asset types;
