Chapter 3: Formatting Text and Graphics

WD 3-1 Use the Format Painter

Starting the Document

  1. Open Word: Start Microsoft Word and locate the file IL_WD_3-1.docx from your Data Files.

  2. Save As: Save it with the name IL_WD_3_Update and set the zoom level to 100%.

Formatting Text

  • Quick Tip for WordArt: To change the WordArt style applied to text:

    • Select the text.

    • Click the Text Effects and Typography button.

    • Choose a different style from the gallery.

  • Formatting Title: Select the title "Update: JCL Technical Careers Division" and apply the following:

    • Click on the Text Effects and Typography button.

    • Choose the second WordArt style in the first row which fills with Blue; Accent color 1; Shadow style.

    • Set the font size to 24 and the font color to Green, Accent 6, Darker 25%.

    • The title will be formatted as 24-point WordArt style in green.

  • Formatting Headings: For the heading "Career Connections Webinar Series":

    • Access the Mini toolbar.

    • Set the font size to 14, applying bold and italic styles.

    • Change the font color to Blue, Accent 1, Darker 25%.

    • This results in the heading formatted in 14-point bold, italic, and blue.

The Format Painter Tool

  • The Format Painter copies and pastes formatting from one selection to another without duplicating content, enhancing text appearance significantly with various font styles, effects, and character spacing.

  • Inserting Special Characters: Insert elements like dates or copyright symbols within the document as needed.

Using the Format Painter

  1. Activate: Double-click the Format Painter button to keep it active, allowing for multiple applications of the same format.

  2. Formatting Additional Headings:

  • Highlight headings such as "Upcoming Conferences" and "Technical Careers Division Personnel" and apply formatting using the Format Painter.

  • Confirm that the formatting is uniformly applied to 14-point bold, italic, and blue.

  1. Ending Format Painter Session: You can either scroll down, select the items, or press ESC to deactivate.

Inserting Symbols and Formatting Dates

  • Insert a copyright symbol (©): You can access commonly used symbols or select "More Symbols" for an expanded gallery.

  • Inserting a Date:

    • To insert an automatic date field, check the "Update automatically" option.

    • You can select formats by navigating to the Insert tab and utilizing the Date and Time dialog box.

Clearing Formatting

  • Return Text to Default Format: If formatting is unsatisfactory, utilize the Clear All Formatting command to revert text to default settings.

    • Defaults consist of 11-point Calibri, left alignment, single space, and no paragraph spacing or indentations.

  • To clear formatting:

    • Select the text.

    • Click the Clear All Formatting button in the Font group on the Home tab.

    • Alternatively, click the No Spacing button in the Styles group for an immediate reset.
