Mediation Script for Zara and Joe's Workplace Conflict

Opening the Session (5 minutes)

Mediator: "Welcome, Zara and Joe. Thank you both for being here today to work through this situation together. My name is [Your Name], and I'll be facilitating our conversation today as a neutral third party. My role is to help create a safe space where you can both share your perspectives and work toward a resolution that works for everyone."

Ground Rules:

  1. We'll take turns speaking without interruptions

  2. We'll focus on the issue, not personal attacks

  3. We'll speak respectfully to each other

  4. We'll keep what's shared here confidential

  5. We'll work toward solutions, not blame

Mediator: "Does this sound agreeable to both of you? [Pause for confirmation] Today, we'll start by hearing from each of you about your perspectives, then we'll identify key issues, and finally work together to find solutions."

First Speaker: Zara's Perspective (10 minutes)

Mediator: "Zara, since you brought this to mediation, let's start with you. Could you share your perspective on what happened with the pitch project and how it's affected your work relationship?"

[Allow Zara to speak, then summarize]

Mediator: "What I'm hearing from you, Zara, is that you feel frustrated because:

  • You took responsibility for the unsuccessful pitch

  • You feel Joe didn't complete his part as expected

  • You've lost some trust in Joe as a coworker

  • You'd like to work together effectively again

Did I capture that correctly? [Pause for confirmation] And how has this situation made you feel?"

[After Zara responds]

Mediator: "Thank you for sharing that, Zara. It sounds like this has been really frustrating and disappointing for you."

Second Speaker: Joe's Perspective (10 minutes)

Mediator: "Joe, now I'd like to hear your perspective on what happened with the pitch and how you've experienced this situation."

[Allow Joe to speak, then summarize]

Mediator: "What I'm hearing from you, Joe, is that:

  • You feel the situation wasn't entirely your fault

  • You would have appreciated clearer expectations from Zara

  • You feel the work environment has become uncomfortable

  • You'd like to restore a good working relationship

Did I understand that correctly? [Pause for confirmation] And how has this situation made you feel?"

[After Joe responds]

Mediator: "Thank you for sharing that, Joe. It sounds like you've been feeling unfairly blamed and would like better communication moving forward."

Identifying Key Issues (5 minutes)

Mediator: "From what I've heard, there seem to be a few key issues we should address:

  1. Different expectations about the project timeline and deliverables

  2. Communication breakdown before and after the pitch

  3. Rebuilding trust in your working relationship

  4. Creating clearer processes for future collaborations

Does this capture the main concerns for both of you? [Pause for confirmation]"

Problem-Solving (15 minutes)

Mediator: "Now, let's focus on how we can move forward. Zara, what would you need from Joe to feel comfortable working together again?"

[After Zara responds]

Mediator: "And Joe, what would you need from Zara to feel the collaboration could work better in the future?"

[After Joe responds]

Mediator: "It sounds like both of you value clear communication and reliability. Let's brainstorm some specific ways you could work together more effectively. What ideas do you have about:

  1. How you might communicate about project timelines and deadlines?

  2. How you could check in with each other during collaborative projects?

  3. How you might handle last-minute changes in the future?"

[Facilitate brainstorming, writing down ideas]

Agreement and Closing (10 minutes)

Mediator: "Based on our conversation, here are some possible agreements I've heard:

  • [State specific agreements reached, such as regular check-ins, clearer deadline communication, etc.]

Do these sound workable to both of you? Would you like to add or adjust anything?"

[Finalize agreements]

Mediator: "To close our session, I'd like to give each of you a moment to share one positive intention you have for moving forward. Zara, would you like to start?"

[Allow both to share closing thoughts]

Mediator: "Thank you both for your openness today. I encourage you to check in with each other after implementing these new approaches, and don't hesitate to seek additional support if needed. Would you like to schedule a follow-up meeting in a few weeks to see how things are progressing?"

[End session]
