Chapter 3: Formatting Text and Graphics

WD 3-7: Insert Online Pictures

Overview

In this chapter, we explore the process of inserting online pictures into documents using Microsoft Office 365 and Office 2019. This feature allows users to enhance their documents visually by incorporating images from the web.

Inserting Online Pictures

  1. Steps to Insert Online Pictures:

    • Begin by clicking the Insert tab in the toolbar.

    • Locate and click the Online Pictures button situated within the Illustrations group. This action opens the Online Pictures window.

    • Use the search text box to enter a keyword related to the desired image, such as "meeting," and press ENTER to fetch relevant images.

      • Keyword Definition: A keyword is a descriptive word or phrase used in a search engine that helps locate images that include that word or phrase.

    • To ensure proper usage, check the Creative Commons only box if it is not already selected, which restricts the search to publicly usable images under certain licenses.

    • This process displays images tagged with your chosen keyword in the Online Pictures window (see Figure 3-18).

Learning Outcomes

  • Users will be able to insert pictures into their documents seamlessly.

  • Wrap text effectively around inserted objects to maintain a professional look.

Clip Art and Image Management

  • Defining Clip Art: Clip art refers to prefabricated graphic images that can be inserted into documents for visual appeal. They can be sourced through the Bing image search via the Online Pictures command in the Insert tab.

  • Once inserted, clip art images can be resized, enhanced, and repositioned in the document.

  • Important Note: Always review any license requirements for an image prior to inclusion in a document. Creative Commons licensed images may be used with certain restrictions, which must be adhered to.

  • Remember that to insert a clip art image, your device needs an active internet connection.

Formatting Graphics

  1. Removing Unwanted Credit Lines:

    • To remove the credit line surrounding an image, click its border to select, and press DELETE.

  2. Changing Image Colors:

    • Access the Picture Tools Format tab, navigate to the Adjust group, and select the Color button. Choose a color option (e.g., Blue, Accent color 1) to modify the image color while also adding a blue picture border.

  3. Floating Graphics:

    • Click on the image, then the Layout Options button on the side. Select the Square option to convert the image into a floating graphic, allowing it to move independently from the surrounding text.

  4. Inserting Different Clips:

    • If the selected clip (referenced in Figure 3-18) is unavailable, choose another clip, highlight it, and click Insert to place it as an inline graphic at the cursor location.

    • Inline graphics become part of the text line until text wrapping is applied.

Positioning Graphics

  • Workflow for Moving Graphics: Drag the graphic utilizing the green guidelines until it aligns precisely with the document layout, ensuring it sits below the title and on the left margin, as illustrated in Figure 3-20. After positioning, deselect the graphic and save changes.

  • Applying Text Wrapping: Under the With Text Wrapping section, the text should wrap around the graphic, making it float within the text layout. An anchor symbol appears next to the anchored graphic, indicating that it is linked to the corresponding paragraph.

  • For precise positioning, use the Position button, click on More Layout Options, and make adjustments on the Position tab within the Layout dialog box.
