Construction Project Status Meeting: Phases 1 and 2

Project Overhead and Administrative Updates

  • Bank of Italy Documentation:     * There was a specific request regarding the Bank of Italy signals. One participant asked if assistance was needed or if dates should be updated to current dates.     * Requirement: The response indicated that assistance is not needed, but cover sheets for those documents must be provided with the current date, provided there is time.

  • Site Safety and Environmental Awareness:     * Heat Illness Prevention: All crews must have heat illness prevention measures on hand due to rising temperatures. This includes shade protection and ensuring crews stay cool during on-site work.     * Personal Protective Equipment (PPE): Extra emphasis was placed on adequate PPE for the upcoming heat wave.     * Tailgate Safety Meetings: All crews are required to submit their weekly tailgate safety meeting records. Leon specifically requested these be submitted digitally/automatically rather than having to chase down subcontractors for the paperwork.

  • Holiday Observance:     * Site Closure: The site and office will be closed on Monday in observance of a long weekend/holiday. No workers are expected on-site.

  • Project Facilities:     * A trailer is being mobilized for project use. It will be located at the sports area adjacent to the existing Fitness building.     * Function: This trailer will serve as the hub for on-site subcontractor meetings.

Phase 1 Construction: Cottage and Fitness Buildings

  • Scheduling and Progress:     * A $4$-week look-in schedule specifically for the Cottage and Fitness buildings was distributed.     * The project is tracking precisely according to the schedule updated on the day prior to the meeting.

  • Material Deliveries and Logistics:     * Truss Delivery: trusses were scheduled for delivery to the Fitness building on the day of the meeting but had not yet arrived. The team is coordinating with the trust department/supplier to see if the delivery will occur that afternoon or if both the Fitness and Cottage trusses will arrive tomorrow.     * Cottage Materials (Joe with CES): Yolanda and Pablo discussed the clearance for service for the Cottage.     * Specific Materials: For the generator, the material delivery of dimensioned items will occur on the day work starts. Raul will bring the materials with him when he begins his segment of work.

  • Roofing Submittals:     * The roofing subcontractor is scheduled to load the roof during the week after next, occurring in the first week of June ($June \, 1^{st}$).     * There is a proposal from the roofer to load both the Cottage and the Fitness buildings simultaneously. Coordination with Scott is required to finalize this request.     * Note: Sample deliveries for roofing have not yet been received.

Building A Status and Phase 2 Operations

  • Building A Progress (McGuire Hester):     * McGuire Hester has completed the grubbing and demolition for everything currently accessible.

  • Unforeseen Site Conditions:     * A storage tank was discovered during excavation.     * Resolution Plan: The tank must be pumped out and remediated. The current goal is to have this completed and out of the way by the end of next week.     * Next Step: Once the tank is remediated, excavation for shoring can begin.

  • Cottage Demolition:     * The timing for the Cottage demolition is currently flexible, but the team is preparing to start at any moment.

Submittal and RFI Tracking

  • Status by Phase:     * Phase 1 Submittals: nearly all items are situated, with roofing being the only significant outstanding submittal.     * Phase 2 Submittals: These are beginning to "roll in," and the team is initiating follow-up procedures for these items.

  • Request for Information (RFI) Status:     * Phase 1: There are currently no outstanding RFIs for Phase 1.     * Phase 2: McGuire Hester has submitted one RFI for Phase 2, which is currently being processed.

Utility Rerouting and Technical Coordination

  • Colfax Mobilization:     * The anticipated date to remobilize back to Colfax in full capacity is June 1st1^{st} (which coincides with a participant's birthday).     * The team explored starting as early as Thursday of next week, but the firm date set is June 1st1^{st}.

  • Utility Obstructions at Building A:     * The storage tank and the necessary rerouting of utilities are currently on the critical path for Building A Phase 2.     * Two specific electrical lines require rerouting:         1. An HVAC-related low-voltage line that ties to a building to the North. The on-site HVAC contractor will handle both the chiller lines and this low-voltage line.         2. A line requiring a temporary cord above ground. The project electricians will handle this installation.     * The goal is to have both the electrical rerouting and the chiller line work completed by the end of next week.     * Water line relocation: McGuire Hester offered assistance in relocating the water line if necessary, though coordination is primarily with the on-site HVAC contractors.

Questions & Discussion

  • Question (Joe, CES): Did everyone receive the $4$-week look-in for the Cottage and Fitness this morning?     * Response: Silence initially, followed by confirmation from Leon and others that the project is tracking per that specific schedule updated yesterday.

  • Question (Leon): Do you have all your materials ordered and ready to start for your upcoming orders?     * Response (Unnamed Participant): Yes, I am ready.     * Response (James): Confirmed readiness if the dates on the schedule remain static.

  • Question (Leon to Blake): Can you talk about submittals and RFIs from your end?     * Response (Blake): Mentioned that Phase 1 is solid except for roofing and that Phase 2 followed-ups are starting. He noted he was driving and could not see the schedule details perfectly but confirmed the RFI status.

  • Question (McGuire Hester regarding Colfax): What is the anticipated date for us to mobilize back in full force?     * Response (Leon): Directed to Thursday of next week, then finalized as June 1st1^{st} to ensure utility work and the storage tank remediation are far enough along to provide space.

  • Question (Betty, McGuire Hester): Reiteration of the electrical lines—just making sure everyone's aware of the two specific lines needing rerouting?     * Response (Leon): Confirmed awareness. The HVAC contractor is taking the North-tied low-voltage/chiller line, and electricians are taking the temporary cord line.
